12-Month Wedding Planning Checklist: What to Do and When

A 12-month wedding planning checklist is the foundation of stress-free planning. Most couples don't realise how early certain things need to happen — and it's the missed early deadlines that cause the panicked final months. This timeline is based on what professional planners actually do, in the order they do it.

12 Months Out: The Foundations

• Set your total budget (include 10% contingency)
• Decide on rough guest numbers — this drives every other decision
• Start venue research — popular venues book 12–18 months out
• Visit at least 3 venues before committing
• Book your venue once you find the right one — don't wait

9–10 Months Out: Lock In Your Key Vendors

• Book photographer and videographer — peak-season photographers fill up fast
• Book your celebrant
• Begin dress shopping (allow 6+ months for ordering and alterations)
• Book your caterer if not included with venue
• Book live band or DJ

6–8 Months Out: Build the Details

• Send save-the-dates
• Book accommodation for interstate/international guests
• Begin florist consultations and book your florist
• Plan the honeymoon and book flights/accommodation
• Book hair and makeup trials
• Order wedding rings
• Begin planning ceremony structure with celebrant

3–4 Months Out: Guest Management and Styling

• Send formal invitations (allow 6–8 weeks RSVP window)
• Finalise the menu with caterer
• Book wedding transport
• Order wedding cake
• Dress alterations appointment
• Plan seating chart once RSVPs come in

4–6 Weeks Out: Coordination

• Confirm all vendors in writing — times, locations, final details
• Create day-of run sheet and distribute to all vendors
• Final dress fitting
• Submit marriage paperwork (NOIM must be at least 1 month before ceremony)
• Finalise seating chart and order place cards

Wedding Week

• Reconfirm all vendors with final contact details
