Most wedding planning advice tells you what to do, but not in what order. That's the gap. The wedding planning timeline — the step-by-step sequence from engagement to wedding day — is the actual framework that separates couples who feel in control from those who feel perpetually behind.
Here's the correct order. Don't skip steps.
Phase 1: The Foundations (As Soon as You're Engaged)
Before you book a single vendor, do these three things:
- Set your budget — a real number, not a wish. Include a 10% buffer. If you don't know the number, you'll make every decision by instinct and overspend.
- Decide on a rough guest count — it dictates venue size, catering cost, and invite budget.
- Agree on the vibe — formal, relaxed, garden party, winery, beach. Both partners need to be on the same page before venue research starts.
Phase 2: The Big Three (12 Months Out)
These three vendors book out earliest and affect everything else:
- Venue — Book first. It locks your date, your capacity, and (usually) your caterer.
- Photographer — Great wedding photographers in Melbourne and Sydney fill their calendars 12–18 months in advance.
- Celebrant — Overlooked until it's too late. Good celebrants book out. Also: NOIM must be lodged at least 1 month before the ceremony.
Phase 3: Supporting Vendors (9–10 Months Out)
- Caterer (if not venue-provided)
- Band or DJ
- Videographer
- Start dress shopping
Phase 4: Design and Guest Management (6 Months Out)
- Send save-the-dates
- Book florist
- Book hair and makeup
- Book honeymoon flights and accommodation
- Order wedding cake
Phase 5: The Details (3 Months Out)
- Send formal invitations (6–8 week RSVP window)
- Dress alterations begin
- Plan ceremony structure and write vows
- Book wedding transport
- Confirm honeymoon bookings
Phase 6: Coordination (4–6 Weeks Out)
- Finalise seating chart
- Create and distribute day-of run sheet to all vendors
- Confirm all vendors in writing
- Final dress fitting
- Lodge NOIM if not already done
Phase 7: The Final Week
- Collect rings and check they fit
- Prepare vendor payment envelopes
- Pack an emergency kit
- Delegate day-of tasks to trusted bridal party members
- Reconfirm all vendors one final time
